When setting learners up for re-enrollments to coursework, it’s critical to understand enrollment sources and their impact on re-enrollments.
A learner will not be re-enrolled in content based on historical completion IF the source of that enrollment is removed and never reinstated.
Let’s walk through an example.
The majority of enrollments in Bridge are automated through group affiliation to content.
Stephanie Admin is in a smart group called “Maine Managers” that is based on her attributes of working in the state of Maine and being a manager in her organization (you can see our list of popular smart groups here).
Because of this group, she is assigned a leadership training course called “Decision-making for Managers.” It is set to expire in 365 days from the completion date and re-enroll the learner within 30 days of that expiration date (we unpack re-enrollment settings here and expiration settings here).
Stephanie Admin completes the course on November 10, 2022. The course completion should expire on November 10, 2023. She should be re-enrolled on October 10, 2023.
When Stephanie Admin loses her direct reports at her company in February 2023, even though she has the same title and leadership responsibilities, she is removed from having the manager attribute. This means she is removed from the “Maine Managers” smart group.
Her removal from the smart group means that she loses her active enrollment source for the “Decision-making for Managers” course. Losing the enrollment source will void the re-enrollment.
Stephanie Admin still needs to retake the course by November 2023.
The simplest way to solve this issue is, first and foremost, to ensure that content that is required for re-enrollment is set at a broad enough group that the enrollment source will never go away.
Should this course only be set for Maine managers? No. It is likely all managers need it.
Should this course only be set for managers? No. Stephanie Admin is no longer a manager because she has no direct reports, but she is in a leadership position that the company feels calls her to take this content.
Should this course be set for all learners? No. Stephanie Admin is an outlier in that she had direct reports and no longer has them but is still a leader in her organization. Most learners who are directly reporting to someone will not be in this position and do not need to take the “Decision-Making for Managers” course.
So, the preparation in Bridge to prevent this issue from occurring is to create a new group that will remain more static for the re-enrollment (this can mean needing to bring in other attributes to create different smart group logic based on business need).
Solution one is to put Stephanie Admin back into the “Maine managers” group with the appropriate attributes (i.e. adding the value of “Y” back to her manager status even if she does not have direct reports).
Solution two is that she can be moved to ANY group that is an enrollment source for this course. If every state and that state’s managers are assigned this content and Stephanie moves states (but is still considered a manager), she would re-enroll on the appropriate date because she has an active enrollment source (even if it is different from the original).
Moving groups will have no impact on the completed enrollments.
The third solution is to re-enroll Stephanie Admin as an individual learner into the required content, which will create the necessary enrollment source and initiate the re-enrollment.
