How do I view overdue learners and training hours completed?

Managers have access to multiple reports in Bridge Analytics to support holding their team accountable to training. In this article, we’ll cover the Overdue Training Report and the Training Hours Report.

OVERDUE TRAINING REPORT

Start by clicking on Analytics > Transcript.

From here, ensure these fields are correctly filled out:

  • Enrollment Date: “is in the last” 90 days [default]
  • Account Name: name of your account [default]
  • Manager Group Name: (Your name)’s Learners
  • Custom Fields: “starts with” (use any value that you’ll want on the report and make sure to use case sensitive characters and proper spelling followed by a colon, i.e. “State:”)
    • Generally only necessary if, for example, you oversee multiple reports in multiple states and their training is different because of these values
  • Status: Overdue

Click the refresh button and then click the Dashboard Actions button.

Click “Download.”

Switch from PDF to CSV.

Organizing Overdue Reports When Using Custom Fields

If you have scheduled to receive this report in cadence, it will arrive from analytics@bridgeapp.com. The title is customizable at time of report creation. Download the report, and it will open in a CSV file.

If you have Excel on your computer, the file will open in Excel. If you have an Apple computer (without the Microsoft Office Suite), it will open Apple Numbers. You can import it to a Google Sheet if needed. The rest of these steps are for easy organization and reporting via Excel.

First, copy and paste the custom field (i.e. “State”) into cell AC2.

Then delete Row 1 and Column A.

This will make it easier to custom sort your report.

Continue with the “expand the selection.”

Sort first by “(custom field)” and then by “User Name.”

If you have operators underneath you by custom field, you can then cascade this report out to those individuals.

TRAINING HOURS REPORT

Start by clicking on Overview > Transcript.

Change the Enrollment Date to “is any time” and the Manager Group Name to your Learners.

From there, hit the Refresh button to ensure the report is showing correctly before pulling it. Once the report parameters are correct, scroll down to “Numbers of Hours Spent on Learning” and click the number in the center of the box.

When the table pops up, hit “Download.”

Change your format to CSV, and be sure to select “Unformatted” and “All results” in the Advanced Options Section to ensure your report is full before hitting the Download button.

Organizing Data to Report Training Hours

To start, eliminate the A Column. From there, Sort & Filter by User Name and then by Number of Hours.

Column L will be in time with hours first.

If this unit does not look right when adding up hours, try selecting the format option directly above the highlighted one in the screenshot.

From here, highlight the table, select Data in your top ribbon, and then select Subtotal.

In Subtotal, at each change in “UID” (you could also use “User Name” but this could potentially show two independent users lumped into one group) use function “Sum” and Add subtotal to “Time Spent” as a summary below the data.

All of your team members will now have their total hours at the bottom of each of their sections:

In the top left corner, you’ll see 1-2-3 which will show you Grand Total (1) with no detail, Total by Learner (2) with only hours, and the full detailed report (3) that you started with.

NOTE: If you want to include your time in training, as well, then you’ll need to go to Me > Learning and export your own Transcript to add to this report. 

Your hours on a Transcript will still present as seconds in row AF:

Convert to hours and add your transcript to the report.

Remember to SAVE AS a XLSX (Excel Workbook) to avoid loss of formulas.
