How do I replicate my Learning Library from the root account to a subaccount?

It is possible to share categories & tags and learner relevance for learning items from the root to subaccounts. This allows for a more efficient creation of Learning Libraries across those subs. 

While a more comprehensive review of content affiliation to subs lives here, we are going to focus this article on the categories & tags and learner relevance affiliations whenever the access toggle is on for that item to that account.

Category learner relevance can only have one value when adding a category to a group: available in library (meaning that it’s viewable by a designated group in the Learning Library). Categories are characterized by a stacked icon.

SIDE NOTE: Affiliating a course with a category to a subaccount, regardless of whether or not the relevance is set for that category, will place the course in the Learning Library.

The table below shows all options for categories & tags and learner relevance settings in a root account via the Affiliated Accounts navigation.

In the ROOT account, the course “Slack Best Practices” has both categories and tags:

  • CATEGORY: 1. Sleigh 101
  • CATEGORY: 2. Sleigh Hot List
  • TAG: Sleigh
  • TAG: Slack

The learner relevance for the course is set to “Available in library” for All Learners.

In the ROOT account, any user’s My Learning page is going to show these categories (that house this course and any other courses in the categories) at the bottom of the page.

In the ROOT account, the “Slack Best Practices” course has the toggles enabled to, first, give access to the subaccount admins to see the content. Then, the Sleigh Customer Training subaccount has shared both categories & tags and learner relevance.

Any user in the subaccount for Sleigh Customer Training is then going to see the two categories on their My Learning page.

They are also going to see the “Slack Best Practices” course in their Learning Library.

An Account Admin would be able to see the categories and tags affiliated from the root to this piece of content. Unlike when categories and tags are added directly from the account in which the course lives, these categories and tags that have been affiliated with the course do not have the ability to be deleted with the “x” that is on the right hand side of the value.

The categories will show in the backend for an Account Admin in Admin > Learning > Manage Categories, but unlike a category created directly in the subaccount (i.e. “3. Lookbooks), the ones shared from the root account will be grayed out and unable to be deleted.

The course shows up in the admin panel for Author > Courses. The Account Admin or Author can add additional categories and tags to the affiliated content.

Let’s go back to the ROOT account. The second subaccount in this instance is Sleigh Partner Training. The course “Slack Best Practices” is only being affiliated without sharing categories & tags and learner relevance (none of those settings have changed).

Going to the subaccount for Sleigh Partner Training, the course will ONLY be placed into the backend management under Author > Courses.

There will be no categories or tags affiliated with the course.

Let’s go back to the ROOT and use course “Emotional Intelligence” to set the learner relevance to “Available in Library” for All Learners.

Then, we will affiliate this course to the Sleigh Partner Training subaccount. We’ve enabled the main toggle to share access of the course down to the sub. We’ve also enabled the learner relevance toggle.

Let’s go back to the Sleigh Partner Training subaccount and view the content from the admin settings.

There are no categories or tags affiliated with the piece of content that is now showing in this specific subaccount.

If we go to view the Learning Library (for any user). The course is present in the Learning Library, but it has NO category affiliations. It is lumped into “All Others” as the default category.

If we go back to the ROOT account, we can see that the “Emotional Intelligence” course does have categories and tags.

Let’s now toggle off the learner relevance and toggle on to share only the categories and tags.

Because the categories and tags are shared, “Emotional Intelligence” will still be visible in the Learning Library, but it will now be assigned to the “Skill Development” category. 

Note that even though we are not sharing learner relevance, the course is still visible in the Learning LIbrary due to the category being shared.

SIDE NOTE. Because the affiliation of the categories and tags locks the course information, there is no way to add THIS specific category to the Learning Library (it is grayed out in Admin > Learning > Manage Categories).

The SUBACCOUNT admin or author would need to add their own categories to affiliated content and set learner relevance from the subaccount itself to get those categories of content to expose to their learners on the My Learning and Learning Library pages.
