What are Bridge Subaccounts

Subaccounts are supplementary Bridge instances created from original Bridge accounts. Every Bridge organization has the potential to contain one original account and an unlimited number of subaccounts.

Subaccounts can be used to manage permissions, learning items, and employee development within an organization's instance of Bridge. For example, subaccounts can be created for different customers in extended enterprise organizations

Notes:
• Subaccounts are not available in Bridge for Teams accounts.
• Original accounts are also referred to as top-level accounts or root accounts.

Technical Considerations for Subaccounts

A subaccount can use a different user authentication method than its original account. For example, if an original account uses single sign-on authentication, the subaccount beneath it can still use basic authentication.

Vanity URLs cannot be configured in a subaccount. Even if an original account has a vanity URL, the subaccount URL will still display as [subaccount name]-[original account name].bridgeapp.com.

Once a subaccount has been created, it cannot be deleted. However, subaccounts can be deactivated.

 

Configure Subaccount Permissions and Settings

After a subaccount has been created, the account admin for the original account can create subaccount admins. A subaccount admin can manage the courses, settings, and learners that are in their subaccount. The scope of what a subaccount admin can access and edit is limited to their subaccount.

Permissions for subaccount creation and management are enabled by default for original account admins, but can also be activated for admins and IT admins. Learn more about roles and permissions in Bridge.

Most account settings can be managed at the subaccount level and are separate from original account settings. The following account settings can be managed and modified at the subaccount level and are unique to each subaccount:

• Content branding
• Account configuration
• User management features like Auto CSV, HRIS, and others.
• Roles and permissions
• Notification preferences

 

Share Content Between Subaccounts and Original Accounts

What can be shared between subaccounts and original accounts?

  • Learning items (courses, programs, checkpoints, and live trainings) created in an original account can be shared with and assigned to learners in an unlimited number of subaccounts.
    • You can specify if you want tags and categories for those items shared to the subaccount or not.
    • You can also specify if you'd like to keep the All Learners group relevance in the subaccount. This means if the All Learners group is set to be "In Library," the option can be toggled so that the subaccount's All Learners group is also set to be "In Library." If this option is toggled on the subaccount cannot change that relevance
  • Learning items created in a subaccount are shared automatically with the original account and can be assigned to learners in the original account.

 

What cannot be shared between subaccounts and original accounts?

  • Bridge Learn surveys cannot be shared between original accounts and subaccounts.
  • Learning items created in a subaccount cannot be shared with other subaccounts.
  • Changes made to the settings of a shared learning item from a subaccount do not impact the original account's learning item settings. 

 

Checkpoints

  • Checkpoints created in the original account can be shared to the subaccount. The content within cannot be edited nor viewed by Account Admin within the sub-account. Edits made in the original account will reflect in the subaccount.
  • Settings for Checkpoints created in the original account reflect in the subaccount, with the exception of the approval setting (which is off by default in the subaccount). Edits to the due date will reflect at the time the Checkpoint is shared, but is not subsequently updated when the setting is changed in the original account. The certificate setting will always reflect the original account setting and cannot be edited in the subaccount.
  • Checkpoints created in the subaccount automatically appear in the original account at the time the Checkpoint is created. Edits made to the Checkpoint will reflect in both the original account and subaccount.
  • Settings for Checkpoints created in the subaccount are not shared with the original account, with the exception of certificate setting, which is editable in both the original account and the subaccount. Changes to the certificate setting reflect in both the original account and the subaccount, whereas changes to the other settings are not reflected in the other account.

 

Live Trainings

  • Live Trainings created in the original account can be shared to subaccounts. However, the sessions within that Live Training cannot be shared to the subaccount.
  • Settings for Live Trainings created in the original account (i.e. expiration, auto re-enroll, certificate) are shared to the subaccount at the time the Live Training is shared. However, changes made to the Live Training in the original account after the Live Training was shared to the subaccount are not reflected in the subaccount.
  • Live Trainings created in the subaccount automatically appear in the original account. However, the sessions within that Live Training cannot be shared to the original account.
  • Settings for Live Trainings created in the subaccount are not shared to the original account.
  • The name of Live Trainings created in the original account cannot be edited in the subaccount. The name of Live Trainings created in the subaccount can be edited by authors in both the subaccount and original account.

 

Programs

  • Programs created in the original account can be shared to the subaccount. The learning items within the program cannot be edited nor viewed by Account Admin within the sub-account.
  • Program content (i.e. courses, checkpoints, live trainings) for Program created in the original account will update within the subaccount.
  • Settings for Programs created in the original account are shared to the subaccount at the time the program is shared. Settings related to due dates and expiration can be updated within the subaccount, but no other settings can be updated within the subaccount. All other settings (take in order, notifications, certificate) will reflect the current settings within the original account and cannot be edited within the subaccount.
  • Programs created in the subaccount automatically appear in the original account at the time the Program is created. The learning items are visible and editable in the original account. All learning items can be deleted from the original account, but only courses can be added.
  • Settings for Programs created in the subaccount are shared to the original account, with the exception of settings related to due dates and expiration. These settings are editable from the original account, with the exception of settings related to due dates and expiration.

 

Edit Shared Learning Items

Editing learning items shared from an original account to a subaccount:

  • Learning items created in and shared from an original account to a subaccount can be edited in the original account. These edits will reflect in both the original account and subaccount.
  • Learning items created in and shared from an original account to a subaccount cannot be directly edited in the subaccount, unless a root account admin is visiting the subaccount.
  • Learning items shared from an original account to a subaccount can be duplicated within the subaccount. The duplicated content can then be edited in the subaccount.
  • Learning items shared from an original account to a subaccount can be deleted in the original account. This deletion will reflect in both the original account and subaccount.


Editing learning items shared from a subaccount to an original account:

  • Learning items created in a subaccount are automatically visible in the original account.
  • Learning items created in a subaccount can be edited within the subaccount as well as in the original account. These edits will reflect in both the original account and subaccount.

Note: After making edits to a course, if the editor of a shared course chooses to re-enroll employees, all previously enrolled employees in both the original account and subaccount(s) will be re-enrolled. If specified by the editor of the course, a re- enrollment email message will be sent to re-enrolled employees.

 

Access Subaccount Reports

To access subaccount reporting data, the Data Dump (Download All Data) feature must be enabled for both the root account and subaccount. When pulling a data dump from the root account it will show all subaccount information. If you need information from only the subaccount you can pull it directly from there. If you do not see the data dump in the subaccount please contact Bridge Support.

Notes:

  • Subaccount course completion data is not available as part of the data export.
  • If a non-admin user has an account in both the original account and the subaccount, that user's account will display in the data export as two distinct user accounts.

 

Access Employee Development Features in Subaccounts

If employee development features are present in an original account, those features are present by default in the subaccounts. However, admins can request that employee development features be turned on or off for each subaccount. For assistance with enabling or disabling those items for the subaccounts specifically you can reach out to your CSM for assistance.
