How Active and Inactive Enrollments Work in Bridge

Active and inactive enrollments, while both representing a learner’s connection to a training item, behave very differently in Bridge. Understanding the distinction between them is key to managing completions, re-enrollments, and reporting accurately.

How Enrollments Become Inactive

Enrollments can become inactive in two main ways:

  1. Re-enrollment: When a learner is re-enrolled into a specific learning item, their previous enrollment completion automatically becomes inactive.
  2. Historical upload: When an admin uploads bulk historical completions and marks them as inactive during import.

Understanding Bridge Architecture

It’s important to understand how Bridge manages enrollments at the system level:

  • Every user has a unique ID, which may be the UID chosen during implementation (e.g., email or HRIS ID) and a unique numerical value assigned by Bridge.
     
  • Every learning item (course, program, live training, etc.) also has a unique ID.
     
  • Each user ID can have only one active enrollment per learning item ID.
     
  • Each user ID can have an unlimited number of inactive enrollments associated with a single learning item ID.

Tip: A learner can have one active enrollment and an unlimited number of inactive enrollments for the same learning item.

Active Enrollments

Active enrollments are the default when performing any historical bulk upload in Bridge.

It’s important to ensure that each user ID has only one active enrollment per course ID. When uploading data, ask yourself:

  1. Should the learner re-enroll automatically based on the course’s re-enrollment settings?
     
  2. Should the learner’s completion carry over to other content bundles (Programs, Journeys, etc.)?

If the answer is yes to either question, the enrollment should remain active.
 If multiple completions exist for a course, the most recent completion should be active, and earlier ones should be marked inactive.

Active enrollments persist across learning structures. For example:

James Manager completes the History of NSYNC course as an individual enrollment. Later, the 90s Pop Icons Program (which includes History of NSYNC) is assigned to his manager group. Since his active enrollment is carried over, the course requirement in the program is automatically marked as complete.

If this is not desired, you can:

  • Reset James in the History of NSYNC course. This removes his completion and resets his progress.
     
  • Re-enroll James in the course. This makes the previous completion inactive and adds a new active enrollment, which will require him to retake the course as part of the Program.

Inactive Enrollments 

Inactive enrollments do not persist in programs, journeys, or other learning structures.

They represent historical completions that exist for transcript and record-keeping purposes only, not for re-enrollment or auto-completion behavior elsewhere in Bridge.

By default, Analytics reports only include active enrollments. However, the Transcript allows you to filter and view both active and inactive enrollments.

Considerations

  • When learners are re-enrolled into a learning item, their previous completions automatically become inactive, and the new “not started” enrollments become active.
     
  • If this re-enrollment was done in error, the new active enrollments can be removed via CSV—but the historical inactive completions will remain.  
     
  • Bridge Support assistance is required to move an enrollment from inactive back to active.

Tip: Before performing any re-enrollments or historical uploads, confirm your intended enrollment behavior—especially if courses are included in larger programs or journeys. This ensures data integrity and prevents unexpected completion overlaps.
